Export your items from QuickBooks Online
- Open Products & services. It sits under Sales in the left menu; you can also type "Products and services" into the search box.
- Choose More, then Run reports.
- Use Export/Print and choose Export to Excel. QuickBooks downloads a spreadsheet of your items, with the company name and report title above the list. Leave those in; they are skipped for you.
Export your items from QuickBooks Desktop
- Go to Lists > Item List.
- Click the Excel button at the bottom of the list and choose Export all items.
- Save the workbook. If you save it as an older .xls file, open it in Excel and copy the rows you need, header included.
Menu names shift a little between QuickBooks versions. If you can't find a button, search QuickBooks Help for "export item list".
Print the labels
- Open the label maker and choose Open CSV or Excel file, or paste the rows. Columns such as
Product/Service,SKU,PriceandQty on handare matched automatically, andCostis left out so it can't end up on a price tag. - Pick a template: Shelf label (name and barcode), Price tag, Bin location or Carton 4 × 6.
- Set how many labels each item needs. Using quantity on hand prints one label per unit in stock.
- Choose your label stock and press Print.
Where should the barcode come from?
QuickBooks has a SKU field on every item, and most businesses put their barcode value there. BetaWave Inventory uses the SKU for Code 128 barcodes by default. If your items carry real retail UPCs, keep them in the SKU field or a custom field, and switch the barcode to UPC-A. Every UPC is checked before it prints; one that lost its leading zero in Excel is flagged instead of being printed as a different product. See how to fix those.
Printing from invoices and purchase orders
To label a delivery, export the purchase order or invoice lines with their quantities and paste those instead of the item list. The quantity column then sets how many labels each line gets. Direct QuickBooks Online sync, where you pick an order and print, is coming with the paid plans.
